Five admin tasks worth automating before you hire
Before adding another admin role, check whether software can do the work. These five tasks are the usual place to start.
When a small business gets busy, the first instinct is to hire someone to handle the admin. Sometimes that is the right call. Often, a good part of that role could be done by software for a fraction of the cost, and the person you do hire can spend their time on work that needs a human.
Here are the five tasks we automate most often, roughly in the order we would tackle them.
1. Replying to new enquiries
Leads cool off fast. If someone fills in your contact form on a Sunday night and hears nothing until Tuesday, they have probably already called your competitor.
An automation can reply instantly with a useful message, ask one or two qualifying questions, and drop the enquiry into your CRM or inbox with everything the team needs. For businesses that get a lot of the same questions, a chatbot on the website can handle the first conversation too.
What it saves: response time, and the leads you were quietly losing.
2. Following up on quotes
Most businesses send a quote and wait. Very few follow up consistently, because it depends on someone remembering.
A follow up sequence sends a friendly reminder a few days after the quote, another a week later, and flags the job for a phone call if there is still no answer. It is written in your voice and stops the moment the client replies.
What it saves: jobs that would have been won with one more nudge.
3. Copying data between systems
If someone on your team types the same customer details into more than one system, that is a candidate for automation. Common examples are moving a won deal from the CRM into the job management tool, or copying invoice details into the accounting software.
These connections are usually quick to build and remove a whole category of typing errors.
What it saves: hours of re typing and the mistakes that come with it.
4. Pulling details out of documents
Invoices, delivery dockets, application forms and purchase orders all contain information someone has to read and enter somewhere else. Modern AI models are good at reading these documents and extracting the fields you need, with a person reviewing anything the system is unsure about.
What it saves: the most tedious data entry in the business.
5. Weekly reporting
Many owners spend part of every Monday pulling numbers from different places into a spreadsheet. An automated report can gather the same figures overnight and send a summary before anyone arrives.
What it saves: a few hours a week, and decisions made on current numbers instead of last month’s.
How to decide what goes first
We rank candidates by two things: how many hours the task takes each week, and how rule based it is. Frequent and rule based goes first. Rare or judgement heavy work can wait, or stay with a person.
The goal is not to remove people. It is to make sure the people you already have spend their time on customers, not copy and paste.
